Requirements: Strong leadership, time management, administrative and interpersonal skills Able to prioritize and adapt to the changing needs of the sales operation, and can evidence having a solid work ethic Good business acumen and a passion for service. College education preferred as well as previous experience in Hospitality, Banqueting, Conference Services, Reservations or Front Desk. Excellent reading, writing & oral proficiency in the English language is important as the Sales Coordinator will be communicating with many clients in the U.S, Market. Strong organizational and time management skills is important as this position will handle many tasks. Attention to detail and ability to prioritize time sensitive emails and projects is essential. Ability to multitask as there are many moving parts to the sales process. Required clerical responsibilities; typing. Proficient in Microsoft Office (Excel, Outlook, Word, PowerPoint, and Internet). Food and Beverage knowledge is a plus. Works well under pressure and is a team player invested in the overall success of the Sales Department and Four Seasons Resort Los Cabos at Costa Palmas. Detail oriented, well developed organizational skills and a strategic thinker. Great communication skills and feels comfortable interacting with clients. Main functions & Responsibilities: Receive and respond to incoming telephone calls to the Sales Department in accordance with Four Seasons Standards, and assist with overflow for Sales & Marketing. Maintain accounts updated with information, including traces, creating and updating group bookings, linking of WSO inquiries to bookings. Daily update to the dashboard scorecard database in Golden Sales & Catering. Manage payroll time sheets for the Sales & Marketing team based in the United States & Mexico. Manage all reporting aspects of the Group Sales team (weekly, monthly, quarterly, year-end) and additional information requested by Director of Marketing, Director of Sales or Sales Managers. Assist to prepare essential information prior to daily Revenue Maximization meetings to review new Group RFP's inquiries. Attend monthly Golden Hour meetings from Four Seasons Corporate Office for new updates and changes to Golden Sales & Catering. Assist Director of Sales and Group Sales Managers in the creation of contracts, addendums and site visit forms (coordinate room and restaurant reservations, amenities and transportation services). Prepare accurate written correspondence including amenity notes, contracts, reports and emails. Operate a variety of electronic and manual office resources, including but not limited to laser printers, multi-function copy machines. Comply with Four Seasons standards for sales and marketing, while working harmoniously and professionally with co-workers and planning committee. Respond according to the crisis management plan to any resort emergency or safety situation. Comply with Four Seasons Category One and Two Work Rules and Standards of Conduct as set forth in EmPact. Periodically assist with front of house operations including greeting and directing guests and manning hospitality desks. In the absence of the Director of Sales and Group Sales Managers, assist in responding RFP's and seek out solutions to requests in a friendly, caring and helpful manner. Maintain an inventory of all standard department supplies and printed materials. Perform other tasks or projects as assigned by Sales Managers, Director of Sales or Director of Marketing. Participate in scheduled departmental and administrative meetings as requested.
