Position Summary
We have an exciting opportunity to join our Madrid team as Office Administrator. Reporting to one of the European Partners Marketing Assistants, you will contribute to the efficient & effective running of the European Partners team in Madrid & beyond by providing support in areas including office administration, the processing of marketing invoices and supporting the Regional Coordinator role in the organisation of visits to our distilleries and the management of our charitable 'Giving More International' budget.
Job Description Coding of invoices : Coding invoices for all our distributors & updating relevant trackers accordingly.
Office administration : Office & logistics support for the team, including managing suppliers, shipments, refurbishments, technical support for the office, organising logistics for events & meetings.
Giving More International administrative support : Work closely with the Regional Coordinator to manage the administration of European Partners Giving More International plans.
External access : Provide our external partners with the relevant access to internal systems such as Brand Hub, Teams & Point of Sale.
Remote location support : Foster a connected team environment across all remote locations.
Madrid visits : Management of visitors coming into Madrid - both internal & external.
Distillery visit administration : Work closely with the Regional Coordinator to manage the administration of distributor, customer & consumer visits to our distilleries.
Skills and Experience To be considered for this role you will have high attention to detail, excellent organisation skills, and the ability to communicate clearly and concisely with all stakeholders. You will have strong IT skills, including Excel, PowerPoint, Word and Outlook and will be able to prioritise within the different tasks the role involves.
