We are looking for a Senior Payroll Coordinator for Spain to sit within the HR team, based in Barcelona. You will be reporting into the HR Manager, working closely with the Finance team in London, Store Ops teams as well as our external payroll partner.
This is a key position within the HR team you will be responsible to ensure accurate on-time delivery of payroll processes for our circa 500 plus combined store and head office colleagues in Spain. You will also ensure continuous improvements for the function, suggesting relevant process change and implementation to create efficiencies for the business.
What you will be responsible for: Payroll Establishing and communicating the payroll yearly and monthly calendar.Ensuring appropriate processes and reporting tools are implemented to enable smooth and correct flow of payroll data from stores.Working closely with our external payroll vendor to ensure correctness and security of the whole payroll production.Execution of controls for payroll files throughout the payroll cycle.Ensuring the correct application of any enrollment, changes, or termination of employee benefits, such as life insurance, health insurance, and other payroll-related benefits.Providing guidance to stores in any task related to payroll.Providing assistance to employees on payroll-related matters, answering questions, and resolving issues in a timely and professional manner.Acting as a true business leader, communicating with all other departments (EU payroll, accounting). HRIS Updating and implementing any changes to the time and attendance system.Ensuring the correct application of the time and attendance processes are followed by stores.Implementing data accuracy improvements and maintenance action plans.Providing guidance to managers in their day-to-day data management operations.Monthly data audit and taking appropriate actions to correct inconsistencies.Working closely with EU HRIS teams, using your own initiative to proactively monitor and suggest improvements and automations to enhance payroll processes.Keeping up to date with the latest legal legislation and ensuring correct implementation of any changes within the HRIS systems. HR Administration Reviewing and improving personnel administrative processes and tools in close collaboration with the HR department and store operations.Compiling and distributing legal, social, personnel, and HR KPI reports to stores.Managing payment of HR vendors through our internal system COUPA.Providing guidance through creation and delivery of training to managers on payroll, admin, and HRIS related matters. What we're looking for: Bachelors, Master's or equivalent experience and/or qualifications in payroll, human resource management, or finance.5-7 years of experience in payroll preferred, as well as personnel administration and/or HRIS, payroll process improvement implementation, HR systems, and data management.Experience in retail, hospitality, or customer service sectors would be an advantage.Experience using Workday.Knowledgeable on Spanish Labor Code.Fluent in English at a business level.Advanced Excel (pivot tables, v-lookup, and other formulas).Excellent analytical skills with a high level of accuracy, detail-oriented with good planning and organisation skills.Ability to work with a diverse and global team.Strong work ethics and integrity.
