This role provides administrative and execution support to Spain's Banking senior management, ensuring diligence, appropriate judgment and discretion at all times across a broad and dynamic range of work. The role includes daily interaction with the offices of senior management across the firm, including frequent contact with internal and external stakeholders as required.The Senior Executive Assistant provides support to another individual or group of individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.Responsibilities:Directly supports senior management and the wider department as requiredManage all scheduling activity end-to-end, including prioritisation and the timely resolution of diary conflicts, across a diverse and senior stakeholder baseExecute all ancillary activity associated with scheduling, including room bookings, refreshments and associated support requests to ensure the smooth running of business activityCoordinates all aspects of executive level manager appointments, meetings, receptions and conference callsMay prepare and review materials and correspondence for meetingsAssist with creation/modification of presentations, spreadsheets, and other various documentsCoordinates travel arrangements; prepare and distribute schedules/agendas for travelPrepares, reconciles, and tracks expense reports through Travel and Entertainment Expense systemOrders supplies and process invoices through Procure to Pay systemProcess and follow-up on Virtual RequestsAssists in ad-hoc reports and special projects as neededTrains, coaches or guides other administrative staff when requiredAppropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.Qualifications:Previous office administration experience preferably within a large and complex financial services or similar organizationDemonstrable experience of supporting the office of a senior business leaderThe ability to adapt to a range of competing priorities with a professional and committed mindset, whilst maintaining excellent attention to detailAn ability to act with the utmost discretion at all times and manage confidential matters with requisite careProven ability to communicate accurately, both orally and writtenExceptional judgement, particularly the ability to know when to escalateStrong interpersonal skills, particularly the ability to create and maintain effective relationships with a wide range of internal and external stakeholdersExcellent knowledge of all Microsoft Office applications, particularly SharePoint and WordPrior knowledge of Citi, including internal organisation and structure, would be a significant benefitDemonstrated ability to quickly gain command of new systemsSelf-motivated and detail orientedEducation:Bachelor's/University degree or equivalent experience preferredJob Family Group: Business Strategy, Management & AdministrationJob Family: Administrative SupportTime Type: Full timeCiti is an equal opportunity and affirmative action employer.
