Job DescriptionAbout This RoleThis position is responsible for creating and maintaining an optimal office environment, ensuring high levels of organization, coordination, communication, sustainability, and safety. Responsibilities include office facilities management from a financial and organizational perspective, mobility strategy and car fleet management, and management of employee social benefits.What You'll DoOffice Management: Facilities management, including maintenance, supplies, equipment, errands, and stationery.Suppliers Management: Budgeting and invoicing.Active search for improvements in the work environment to reflect company values and reduce the impact of incidents or disruptions to normal operations.Reception management, including outsourcing services.Health and Safety coordination with the Prevention Risk Partner and HR.Ensure updates and compliance with the Office Emergency Plan.Assist in employee onboarding and offboarding processes.Mobility Strategy - Car Fleet Management: Leasing company management, negotiation with car brands, daily fleet management, fuel monitoring, and addressing employee queries.Social Benefits Management: Management of social benefits such as life insurance, health insurance, restaurant tickets, transport cards, and allowances, liaising with HR and external vendors. Provide external vendors with ongoing updates of hires, changes, and terminations. Monthly reporting of social benefits information for payroll.Flexible Compensation plan management in coordination with HR.QualificationsWho you are: You are a highly motivated and proactive individual with a strong sense of initiative and a hands-on approach. You possess excellent interpersonal and communication skills, enabling you to build strong relationships and be an effective team player and negotiator. You are well-organized and thrive in collaborative environments, consistently contributing to team success.Required Skills:Bachelor's degree; additional qualification as an administrative assistant is a plus.Good level of English.Strong customer focus.Attention to detail and problem-solving skills.Analytical skills.Budgeting skills.Good command of Windows Office tools (Outlook, Excel).Ethical and transparent approach, adherence to internal and external regulations and SOPs.Additional InformationWhy Biogen?
