The Program Assistant is the first point of contact with students and professors on a day-to-day basis. This role involves assisting the Program Management team by carrying out all administrative tasks necessary for the smooth running and delivery of the program. The Program Assistant will manage communication flows, support program logistics and operations, and ensure a high standard of service for students and faculty.
Key Action Areas:
Interaction with Students and Professors:
Attend and support students and professors daily, addressing queries and providing assistance with empathy and professionalism.
Manage a high volume of emails and respond promptly to student queries.
Liaise and coordinate with other departments (Registrar, Planning, etc.) on a wide range of administrative issues.
Process internal expense reports and manage logistics for program deliveries, including catering, extracurricular events, and travel arrangements.
Compile and update databases with student information.
Contribute to the preparation and editing of reports and presentations.
Analyze existing data-gathering systems and procedures to support their improvement and the development of new ones.
Produce and translate documents, briefing papers, reports, and presentations to support Directors in their tasks.
Internal Development:
Support short, medium, and long-term projects related to logistics, planning, and communication with various departments.
Handle sensitive information, including grades and ethics committee matters, with precision.
Address concerns and queries from faculty and front-office colleagues, providing quick and effective solutions.
Utilize Excel for capturing and recording data, applying shortcuts and formulas, and sorting and filtering information.
Serve as a liaison between professors, internal stakeholders, and occasionally external parties, addressing questions and comments related to program academics, logistics, and administrative tasks.
Requirements:
Bachelor's Degree is preferred.
Fluency in both English and Spanish, with excellent communication skills (verbal and written).
Proven track record of customer interface, excellent organizational skills, and a "can-do attitude".
Proficiency in Microsoft Office (Word, Excel, and PowerPoint).
Curious, open to learning, and with strong team-working skills.
Strong desire to work in a multicultural environment.
Candidates must possess a valid EU work permit.
