About the Role
This person will be responsible for the management and coordination of the administrative functions, including office facilities, accounting, finance, distribution, trade events, PR related travels, corporate compliance and general office administration for Tourism Australia's India office.
As Tourism Australia is a multinational organisation, this role may require the incumbent to be flexible in the hours worked and travel.
Key Responsibilities
Maintain office services by organising office operations and procedures; office maintenance, coordination with vendors/suppliers and other appointed agencies, organising office supplies, upkeeping and cleanliness, stock-up pantry, managing correspondence; standardising filing systems; reviewing and submitting supply requisitions; maintaining databases and SRM and monitoring clerical functions and ensuring Work Health and Safety.
Assist in day-to-day administrative activities related to accounting and finance including raising purchase orders, working on contract and procurement processes, Requests for Quotations/Tenders (RFQ/RFT), validating/scanning invoices, reconciling expense reimbursements and processing payments.
Coordinate and file compliance procedures to LLP entity under the applicable regulatory frameworks working collaboratively across multiple stakeholders and appointed agencies on periodical intervals to meet TA requirements.
Ensure proper and timely dispatch and delivery of couriers including brochures, marketing aids, and documents for various events/agents.
Provide support for distribution and trade projects and activities by updating relevant platforms including CRM, SRM, Trade Events database, Sharepoint, myTA, Aussie Specialist Program (ASP) and Business Events.
Manage travel arrangements for all public relations and international media hosting program (IMHP) and assist with logistics for successful roll out of planned projects hosting celebrity & advocate visits.
Participate and contribute to budgeting and re-forecasting review process.
Monitor budgets to optimise spend to ensure cost effective and efficient support including office services, marketing budgets, with monthly variance and accruals and approved business travels for the team (domestic & international trips). Support travel logistics of visiting guests and visitors at optimal cost.
Act as a local conduit to liaise and interact with appointed local banks, service agencies, solicitors, consultants & auditors on related queries including statutory audit, tax audits & ANAO as needed.
Provide administrative support for TA's distribution and partnership marketing activities.

Strong working knowledge of MS Office.
Prior demonstrated track record to support business support services to Finance, Accounting, Procurement, Compliance and Auditing would be an advantage.
Possess excellent communication skills for interaction with internal and external stakeholders and past/potential travellers.
Business administration experience supporting a diverse team.
General accounting, financial and budget management skills.
Prior travel industry experience (Australian product knowledge is a plus), budget and contract management experience is desirable, but not essential.
