We are currently seeking a RECEPTIONIST/OFFICE MANAGER to join our creative advertising team in our Barcelona office.
You will: Greet and welcome guests as soon as they arrive at the officeAnswer, screen and forward incoming phone callsProvide basic and accurate information in-person and via phone/emailReceive, sort and distribute daily mail/deliveriesMaintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, provide NDA´s)Organizing the office layout and ordering stationery and equipmentMaintaining the office condition and arranging necessary repairsPartner with HR to update and maintain office policies as necessaryCoordinate with IT department on all office equipmentManage contract and price negotiations with office vendors, service providers and office leaseAssist in the onboarding process for new hiresAddress employees queries regarding office management issuesLiaise with facility management vendors, including cleaning, catering and security servicesPlan in-house or off-site activities, like parties, celebrations and conferencesArrange travel and accommodations and prepare vouchersWhen freelancers come to work at the office for some time, we must search for accommodation for them and everything related to it (closing the contract, payment, handing the keys, keeping the place tide...). We require this profile to manage these tasks.Provide specialty coffee service from a given schedule (you will receive proper training for this)Requirements:Excellent presentation aligned with our company styleFluent Spanish, English level (minimum B2) and Catalan is a plusHigh school degreeAt least +1 years of working experienceProven work experience as a Receptionist, Front Office Representative; Office Manager, Front Office Manager or Administrative Assistant or similar roleHands-on experience with office equipment (e.g. fax machines and printers)Solid written and verbal communication skillsAbility to be resourceful and proactive when issues ariseExcellent organizational skillsMultitasking and time-management skills, with the ability to prioritize tasksA creative mind with an ability to suggest improvementsExperience and/or interest in the audiovisual industry is a plusBenefits:You will join a young teamSpecialty coffee & teaDiscounts in food & restaurantsFree fruits every dayHealth insuranceEnglish lessons
