Your role
The Property Operations Administrator function sits under Operations and is responsible for management of common area within a DC along with any other Office space in the vicinity of a DC. The Property Operations Administrator works closely with the Service Planning Manager to support the comprehensive management and maintenance of Digital Realty's White Space areas including DC buildings.
Main duties Collaborate with cross-functional teams to gather relevant data for vendor performance evaluations.Communicate effectively with internal teams to address administrative aspects of vendor contracts and compliance.Single point of purchase management by an internal software tool.Budget preparation and real-time updating of cost control (Opex and Capex).Contracts management: Renewals, new contracts, cost control, administrative collaboration on Request for Proposal processes.Documentation management related to Vendor Contract Administration.Maintain organized contract tracking for detailed lists and centralized database.Ensure accurate and up-to-date records for easy retrieval.Assist in monitoring vendor contract compliance with Global standards.Support the process of requesting Certificates of Insurance (COIs) from vendors.Manage a comprehensive and regularly updated database of critical vendors.Assist in data collection for contractors' performance assessments.Contribute to quarterly vendor scoring reports.Provide administrative support in coordinating vendor communication. Operational Support Provide administrative oversight for site operational purchase orders, receipting, and invoicing.Assist in ensuring the effective management of the purchase order process for vendors.Support in overseeing and coordinating the purchase of all office goods and services.Assist in maintaining accurate records and facilitating procurement processes.Organize site access as required including vendors, contractors, third-party suppliers etc. Operations controlling Provision of analysis and decision support to the Director Operations Manager and other stakeholders within the company with the aim of improving the operational financials.Operational expenses controlling.Reporting, analysis and interpretation of KPI's and financial information in order to appraise operating results in terms of profitability, performance against budget etc.Collaborates and cooperates with respect to financial improvements and operational savings.
