Job Title: Executive Assistant
Job Summary: The Executive Assistant will be responsible for providing comprehensive support to the Founder. This includes managing calendars, arranging meetings, handling communications, and performing various administrative tasks. The ideal candidate will be proactive, detail-oriented, and able to maintain confidentiality and professionalism in all interactions.
Management Support: Support in managing OKR goal setting processes and performance reviews. Calendar & Schedule Management: Proactively manage and prioritize the executive's calendar, ensuring all meetings, appointments, and events are scheduled efficiently. Anticipate scheduling conflicts and provide solutions. Travel Coordination: Arrange domestic and international travel logistics, including booking flights, accommodations, transportation, and creating detailed itineraries. Meeting Support: Prepare materials, agendas, and presentations for meetings. Take meeting minutes and action items. Follow up on deliverables and deadlines. Project Assistance: Support the executive in ongoing projects, tracking milestones, deadlines, and deliverables. Coordinate efforts with other departments or external parties as needed. Client & Vendor Relations: Assist in the coordination of events, conferences, and other business development activities. Confidentiality & Discretion: Maintain a high level of confidentiality and professionalism at all times, especially when handling sensitive and confidential information. Office Management: Manage small office space. Qualifications: Proven experience as an Executive Assistant, Personal Assistant, or in a similar role. Strong organizational skills with the ability to multitask and prioritize in a fast-paced environment. Excellent verbal and written communication skills. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), and other office software and tools. Strong attention to detail and problem-solving skills. Ability to handle sensitive information with discretion and integrity. Exceptional interpersonal and relationship-building skills. Excellent Bachelor's degree or equivalent experience preferred. Ability to work independently and as part of a team. Preferred Skills: Experience with project management tools (e.g., Monday, Jira). Familiarity with financial reporting and budget management. Previous experience working in a fast-paced industry (e.g., tech, performance marketing, startups). Personal Attributes: Proactive and self-motivated with a flexible approach.
