This person will provide support to Buildings and Places Business Line in Spain. This position is based in Madrid and requires a full-time dedication. We enjoy flexible working hours and some days of remote working per week. The role is ideal for you if you are a person with excellent interpersonal skills and you enjoy working in a fast-paced environment.RESPONSIBILITIES :Work includes the following functions:Prepares or proofs correspondence, forms, spreadsheets, or documents.Is responsible for invoicing and subcontract's management.Supports the preparation and register of bidding documents using client's platforms.Supports the onboarding of new team members, in coordination with other departments.Manages and maintains Director's calendar in Microsoft Outlook, coordinating schedules and room's booking.Coordinates webcasts, conferences and/or events including meeting room reservations and logistics, and preparing meeting materials, in collaboration with other departments.Meets regularly with the Business Line Director to review status of projects/agenda; plan key events, meetings and upcoming travel; and prioritize open action items.Interacts and communicates with all levels within the company.Manages confidential information as needed.Identifies opportunities for process improvement and recommends initiatives related to general business administration.Performs other related duties as assigned.QualificationsWe are looking to hire a professional with demonstrated excellent verbal and written communication skills in English and Spanish, both of them are essential. A professional with previous experience in providing administrative support in similar companies. Advance user with Microsoft Word, Excel, Outlook, and PowerPoint. Familiar with "Plataforma de Contratación del Estado" and other contract management software. Familiar with a variety of the field's concepts, practices, and procedures
