We are seeking a friendly, motivated and well-organized person to join our team as an Administrative and Admissions Assistant. This role is essential in providing administrative support to the school administration team and the admissions department. The ideal candidate will possess strong communication skills, attention to detail, and a welcoming customer-focused approach to ensure a smooth administrative process and a positive experience for prospective students and their families.
ResponsibilitiesFront Desk ManagementManage the front desk area, greeting visitors, and directing them appropriately.Maintain a friendly, welcoming and professional atmosphere for all who enter the school premises.Handle incoming mail, deliveries, and other administrative tasks as needed.Administrative SupportProvide administrative support to the school administration team, including managing phone calls, emails, and inquiries from parents, students, and staff.Assist in maintaining accurate student records.Coordinate scheduling of meetings, appointments, and events.Assist with data entry, report generation, and filing/documentation tasks.Make non-instructional decisions in the absence of administrators including decisions regarding emergency situations. (Will have authorisation to sign some designated documentation for the administration team.)Admissions AssistanceAssist in processing online and in-person admissions inquiries, applications, and enrolment paperwork, supporting parents in timely and accurate completion.Maintain accurate and up-to-date digital records related to admissions, including applicant files, enrolment statistics, and demographic data.RequirementsDegree in Administration or related fieldPrevious experience in administrative support and/or admissions roles, preferably in an educational setting.Customer service-oriented mindset with a friendly and approachable manner.Able to multi-taskExceptional interpersonal and communication skillsStrong problem-solving and analytical abilitiesStrong organizational skills and attention to detail.Ability to handle confidential information with discretion and professionalism.Technically proficient in using diverse software tools and applications.Ability to work independently as well as collaboratively in a team environment.Flexibility to adapt to changing priorities and responsibilities.Fluency in English and SpanishJob Type: Full-time
