The purpose of the role: The Office Manager position is a unique role which would require you to wear multiple hats to deliver on a very diverse set of responsibilities within the People and Places Experience arena. On the People experience side, you would be providing Executive support to a number of Vice Presidents in Europe and working within the HR European team in different initiatives that focus on enhancing our people experience. On the Places side, you will be the Office Manager for our brand-new office in Barcelona, delivering best in class employee and customer experience whether in person, by phone or virtually.
ResponsibilitiesExecutive Support: Responsible for the management of the agendas of the local VPs to assist organizing meetings locally with internal and external contacts. The management of the travel of the Executive Team members as per request (booking flights and accommodation). Management of expense reports and monitoring. Administrative secretarial work. Organisation of events (seminars, meetings, team workshops) for the VPs that you will support. Management of presence in the Office.Liaison with Executive Assistant: Support the orchestration of monthly executive meeting taking place in the Barcelona office.Office Management Barcelona HQ Office: Collaborates with our WH&S Manager to ensure we follow the WH&S procedures and guidance in the office. Management of supplies for the office (stationary, catering, equipment, and other services) directly dealing with suppliers and follow-up of the general services budget. Works in reception to welcome guests when required. Collaborate with the Receptionist team in our Valls site for alignment in employee communications.Other: General office administration.HR Support: Provide support on Human Resources and/or Culture initiatives, building presentation and participate in projects. RequirementsDiploma level of education in Administration, HR or similar.4 years of experience in an Office Manager, Recruiter, HR Coordinator, Executive Assistant position or similar.Experience in a multinational environment would be valuable.Fluency in English and Spanish. Other languages would be valuable.Excellent written and verbal communication skills.Enjoys being in a people-facing position.
