Let us describe the challenge we offer:
The Polestar Operations Administrative Support will be a professional with experience in Operation, Order, Delivery, and Registration administration, preferably from the automotive industry. The Operations & OtD administrative support role will initially be to implement and be responsible for the administrative operations, orders, and delivery processes together with the sales and operations organization and in cooperation with the central functions at Polestar head office to secure adherence to Spanish legislation and business practice. This position will be based in the Polestar office in Madrid, Spain.

What you'll do: In this position, you will oversee the movement, distribution, and storage of materials and inventory, as well as tax and VAT transactions. You will act as the contact point for Polestar HQ, Operations team, Sales Team, and occasionally the Order-To-Delivery team. Other tasks you will be responsible for include:
Leading Operations, Ordering and Delivery Administration activities.
Controlling proof of payment, releasing car documentation for registration, and updating the handover portal accordingly.
Giving support to Polestar operators, ensuring they are being remunerated (related to invoices and payments) as agreed.
Filing to local government and authorities with the support of a third-party company.
Purchasing, setting up the PO (Purchase Order), and following up on goods received.
Supporting Polestar internal cars including Company Cars and Dealer cars from a central perspective.
Supporting the third company for registration and homologation for Polestar.
Who you are: You are a team player with experience in operations and registration administration support. You can handle multiple tasks, maintain focus, and adapt easily to changing business needs. You have a true hands-on attitude and you make things happen. Competence and experience are important, but personality is key!
To be a great fit for this position, we believe you have:
A degree in Administration.
A minimum of 2 years experience in the automotive field or related.
Demonstrated analytical skills and a data-driven approach to business.
A good understanding of automotive-related processes.
Good knowledge of Excel.
