The role:A successful Tech Administrative Assistant will act as the point of contact for all Tech employees, providing administrative support and managing a variety of queries.
Responsibilities:Manage, track, and follow-up Tech team procurement activities creating requests to support development activities/needs in the system and tracking end-to-end the process (internal approval, P.O. Release, reception delivery process), highlighting proactively to the requestor any block or risk.Coordinate schedules, arrange meetings, distribute reports, and ensure that everyone on the team is kept current with necessary company news and information.Keep the distribution list inside the Tech team up-to-date, with the different communication channels commonly used inside the organization.Track team dedication on a monthly basis, analyzing real vs budget.Maintenance and management of EV fleet inside tech team, controlling vehicle allocation, contracts, renewals, incidents, insurance.Prepare and assist with the preparation of case team materials and basic presentation and spreadsheets - prepare slides, proposals, and other documents, including proofreading, editing, copying, and binding when required.Schedule in-house and external tech events.Anticipate and coordinate point-to-point travel needs as necessary including booking all travel and hotels, directions, commuting time, and ground transportation.Process timesheets and expenses on a timely basis.Requirements:Proven experience in administration.Experience with office management software like MS Office (MS Excel and MS Word, specifically) and/or G-suite.Strong organization skills with a problem-solving attitude.Excellent written and verbal communication skills.
