Role Mission:
Due to our continued expansion we now have an immediate opening for a full-time Business Support Assistant in Madrid, Spain to support the success of the business by carrying out administrative and procurement activities.
Key Responsibilities: Submitting cost centers in Travelperk.Checking monthly travel bookings and making sure all travelers submit their expense reports.Support in travel arrangements.Auditing expense reports (including the company card statements).Invoicing services and expenses (including contract compliance, SO import in SAP, invoice scheduling).Organizing shipments.Shopping cart management: creating purchase requests/POs.Purchasing services and devices.Facilitating document signing and storage (for Advantio SL).Helping with security at work fulfilments/health insurance subscriptions (for Advantio SL).Collecting supplier invoices (for Advantio SL).Registering and maintaining registrations in our local Client's vendor portals.Supplier management.Handling and distribution of incoming post.Helping with prospection databases.RFP preparation: documentation support.Keeping relationship with customer's procurement and invoicing teams to facilitate invoicing flow. Knowledge and Skills: Fluency in both English & Spanish (verbal & written).Familiarity with Office package (Excel, Word, PowerPoint etc). Nice to Have: Previous experience using SAP based products.
