The SIC Coordinator will collaborate in a shared workspace two days a week (Tuesday and Thursday) with the Madrid-based team and work remotely for the remaining days.Job DescriptionThe Scheduled Tours Coordinator is in charge of inside sales with our European clients.
The position is handling all accounts and technical support for Go West Tours guaranteed departures, with a strong focus on the French speaking market but also German, Italian, Spanish and Portuguese speaking markets.Daily tasks will include:Checking and confirming all bookings of passengers to our clients on the day they are receivedUpdating the database daily with all tours and passengers informationProcessing all incoming and outgoing correspondence with the clientsRequesting from our clients all necessary information: meal plan, flight information, transfers, etc.Answering questions for clients regarding our guaranteed tours in a timely mannerEntering accurately all information in our database as well as on our online platformMaking changes in any existing reservation as neededSending lists of hotels confirmed to our clients 30 days prior to departureCommunicating with our clients on any closed departuresCoordinating with other departments for special issues regarding passengersInvoicing all bookings according to payment agreements with each clientsLogging any complaints regarding the tourAnswering all complaints from passengers on specific toursInforming our clients on any particular situation, changes or incidents on our departuresUnderstanding and dealing with client having different needs and policiesWe are a small business, this is a set guideline, but duties may vary upon what needs to be done
