We are currently looking for a Scheduled Tours Coordinator, based in Madrid to assist our Scheduled Tours Manager.
The SIC Coordinator will collaborate in a shared workspace two days a week (Tuesday and Thursday) with the Madrid-based team and work remotely for the remaining days.
Job Description The Scheduled Tours Coordinator is in charge of inside sales with our European clients.
The position is handling all accounts and technical support for Go West Tours guaranteed departures, with a strong focus on the French speaking market but also German, Italian, Spanish and Portuguese speaking markets.
Daily tasks will include: Checking and confirming all bookings of passengers to our clients on the day they are received Updating the database daily with all tours and passengers information Processing all incoming and outgoing correspondence with the clients Requesting from our clients all necessary information: meal plan, flight information, transfers, etc.
Answering questions for clients regarding our guaranteed tours in a timely manner Entering accurately all information in our database as well as on our online platform Making changes in any existing reservation as needed Sending lists of hotels confirmed to our clients 30 days prior to departure Communicating with our clients on any closed departures Coordinating with other departments for special issues regarding passengers Invoicing all bookings according to payment agreements with each clients Logging any complaints regarding the tour Answering all complaints from passengers on specific tours Informing our clients on any particular situation, changes or incidents on our departures Understanding and dealing with client having different needs and policies We are a small business, this is a set guideline, but duties may vary upon what needs to be done.
Requirements & Qualifications · Excellent organizational skills and attention to details · Fluent in French & English, other languages a plus · Strong written and oral communication skills in French and English · Strong sense of customer service · Ability to prioritize correctly and to work with tight deadlines · Ability to research efficiently, and at ease with basic computation · Thriving in multi-tasking, fast-pace dynamic environment · Good computer skills: MS Office (Word, Access, Excel, Outlook) · Minimum 1 year of experience in tourism Values · Communication: "My communications are candid, effective, and respectful with good intentions."

Salary & Benefits · 23000 Euros gross / per year – paid in 12 payments per year · Plus Transporte: +1264.67 euros/year paid on 11 months · 14 paid holidays including 1st January – New Year, 6th January – Epiphany, Good Friday and Easter Monday, 1st May – Labor Day, 15th August – Day of the Assumption, 12th October – National Holiday of Spain, 1st November – All Saints Day, 6th December – Spanish Constitution Day, 8th December – Immaculate Conception, 25th December - Christmas Day.
