We are looking for a Tenders & Proposals Coordinator for the Marketing and External Communication Department.
Main responsibilities and dutiesPrimary responsibilities:To provide support and coordination for the procurement, compilation, preparation and timely submission of bids, tender, expression of interest and various proposals to contribute to the profitable development of global sales within Trade Facilitation Services.To provide support in the preparation and standard formatting of products presentation as well as ad-hoc presentation to address client's expectations.To coordinate TFS Marketing Activities and support SGS affiliates.Specific responsibilities:Lead generation: Conduct the centralized search and monitoring of public leads and tender opportunities from a range of pre-agreed internet based sources (tender portals).Disseminate the information/opportunities to the different product managers for assessment and collect the bid/no-bid decisions.Tender preparation:Summarize bid requirements and prepare the responsibility matrices.Assist in structuring of proposals in cooperation with relevant business team.Organize and administer bid progress meetings and ensure that all technical and commercial questions are answered by the responsible stakeholders.Prepare template documents for each opportunity following the requirements, detailing the draft structure of the EOI/proposal: submission letter, team members CVs + Diplomas, technical approach, pricing; general SGS presentation and references.Conduct administrative work surrounding tender preparation.Obtain and compile all the documents to be submitted from the different internal stakeholders.Follow-up of overall proposal process until submission.Update of reference documentation.Coordination of assignments and collection of all deliverables (internal and external contributors).Update of database and archive of documents.Organise Global Meetings.Ensure co-ordination, execution and delivery of relevant material on the occasion of promotional events, exhibitions, seminars, conferences and other undertakings requiring TFS participation and contribution.AOB.Basic documents:Populate and update information as required on the central repository for all key supporting documents for tendering.Regularly liaise with affiliates, CC's to update country tender information (capabilities, staffing, job description, legal documentation, etc.).Maintain all official administrative documentation (trade registry, insurance policy, fiscal statements, Article of association, Bankruptcy statement, etc.).RequisitosEducation and qualificationsRequired:Working knowledge of English and French.Other languages such as Spanish are an advantage.Bachelor Degree in Marketing/Communications.Experience and knowledgeRequired:Very good IT Competencies (Specifically Word, Excel, PowerPoint, SharePoint).Experience in public tenders submission.Desired:Good analytic capacities.Good organisation skills and attention to details.Good team player and spirit of cooperation.Good writing skills.Ability to work under pressure.Availability to work flexible hours.Interest in IT and capacity to keep up with IT development.Problem-solving attitude.Interest for the sector(s) activities.Información adicionalWhat can we offer?
