About the Department of Foreign Affairs and Trade (DFAT) The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia's security, enhancing Australia's prosperity, delivering an effective and high-quality overseas aid program, and helping Australian travellers and Australians overseas. The department provides foreign, trade, and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia's pursuit of global, regional, and bilateral interests.
About the Position Under general direction, the Administration and Property Officer is responsible for providing high-quality and efficient administrative support and property services, covering the chancery and diplomatic residences. This includes responding to property maintenance requests, liaising with suppliers and associated financial administrative duties.
The responsibilities of this position include, but are not limited to:
Assist in arranging high-quality property services covering the chancery and Australian diplomatic residences. Respond effectively to client requests and enquiries in accordance with DFAT policies and procedures, including requests related to property maintenance. Liaise with suppliers, landlords and external stakeholders. Provide regular feedback to management on the status of maintenance works. Coordinate preventative property maintenance services and inspections in line with the regular maintenance schedule. Financial administration duties, including processing invoices and claims. Supervise contractors and perform quality assurance to ensure proper completion of tasks. Provide back-up official driving duties for A-based staff and official visitors. Provide back-up ICT support services as required. Support the Administration team as required including undertaking other roles and duties during staff absences. Qualifications/Experience Valid Spanish driver's license High level oral and written English and Spanish language and communication skills. Attention to detail and the ability to switch between tasks to respond to competing demands. Demonstrated ability to work as an effective and reliable team member in a busy work environment. Proven decision-making skill, and the ability to exercise good judgement and problem solving to meet strict timelines. Experience in interpreting and applying legislation, policy, guidelines, procedures and instructions in a client-focussed environment. Proficiency and accuracy in using information management systems and computer software including Microsoft Office suite, including an ability to use electronic filing and reporting systems.
