This position is internally known as "Transformation Facilitator".
The mission of the Academic Secretary is to reinvent the interaction of the IESE departments, the students and the alumni with their academic records. The driving force behind the modernization and automatization of IESE's administrative processes, this unit will push for the digitalization of the processes underpinning services ranging from admissions to grading.
To fulfill its mission, the department needs individuals with a relentless appetite for change that are ready to work in an entrepreneurial unit that will bring about tremendous change across the whole organization.
What you will be doing: Deliver an increasingly excellent and efficient service to the students, alumni and IESE divisions on academic-file related matters.
What we expect from you: Understand the clients' needs and become their trusted partner for administrative matters.
Become an expert in all the administrative process, being able to make recommendations for radical improvements that can either make them more customer centric or efficient.
Perform administrative work related to the students' academic file (enrolment, certificates/diplomas issuance,…).
Manage a wide array of projects including topics such as processes automation/digitalization, KPI design and tracking, developing of training materials, calendar etc…
Mapping of processes in order to facilitate the rotation of responsibilities without losing know-how.
Review of quality levels and identify deviations in time and form.
Communication to the Director of the Academic Secretariat of the status of activities and deviations, proposing corrective measures.
Understand the needs of the programs and become your trusted partner for administrative matters.
Main administrative processes for this role: Admission, enrollment and completion on various academic programs.
Agreements, certificates, certifications.
Diplomas.
Student Visas.
Student Health insurance.
Residency process for foreign students (NIE).
Others.
Requirements What you need to be:
An expert in all the academic-file related processes.
An entrepreneur willing to drive digitalization and change.
A customer experience champion, who feels fulfilled serving his/her clients.
A willing early adopter of technology (as we will be trying new technologies to better serve our clients).
Flexible to respond to unforeseen program needs.
Allergic to repetitive work (which you should be looking forward to automatize).
