Being Human Matters to Us Together We Can Achieve Anything We Always Keep Growing Job Description The Team Coordinator will proactively support the Regional Director, Iberia & Italy, and category teams in managing the contractual and team administrative needs aligned to Universal franchise, category and consumer priorities.
KEY RESPONSIBILITIES Data entry of Licensee deal memos across all categories into CRM/RSG system. Tracking critical path - from business-plan submission to contract execution. Manage the tracking contract workflow. Manage the administration requirements for establishing new licensee contracts; ensuring records are up-to-date for existing licensee partners; and communication to relevant stakeholders of contractual obligations where required. Lead new licensee onboarding ensuring seamless transition. Assist licensees with GBS and factory audit support, quarterly royalty report submissions, tracking and outstanding invoices and system support ie: media box. Manage all asset management processes and NDA requests. Creating and setting up new vendor accounts, raising purchase orders (using SAP) and coding invoices for payment, following through as required to ensure timely payment and quarterly tracking and pacing of direct costs. Assist in supporting quarterly forecast process to set deadlines. Manage weekly team updates for senior management and ELT dashboard. Maintaining databases, spreadsheets/tracking documents and the distribution of licensee lists, brand presentations and other sales materials. Proactive diary management for the Regional Director and the coordination of domestic and international travel plans. Administrative support with monthly travel and expense reports for the commercial team. Management of adhoc administrative duties to frequent deadlines. Qualifications SKILLS & EXPERIENCE Excellent administration skills combined with the ability to balance and prioritize workload across teams and markets, including complex diary management, booking meetings and travel. Top level organizational skills with ability to work under pressure with high attention to detail and prioritize according to deadlines. Proactive team player with strong communication skills at all levels. Data entry experience and proven attention to detail essential to role. Confident to liaise with multiple departments internally as well as with external international partners. Self-starter with the ability to work independently as well as collaboratively within a team. Strong PC skills with Intermediate to advanced knowledge of Word, Excel and PowerPoint. Knowledge of Keynote and Mac. ABOUT YOU Excellent communication and presentation skills, ability to influence stakeholders at all levels. Self-motivated, independent, and able to thrive in a matrix organization.
