The Office Supervisor will manage support staff and oversee office administration, payroll, office services, and day-to-day activities under the direction of management. Maintains relations with ministry and labor authorities, post office, banks, and country authorities for taxes, social security matters, and company registration updates. The office supervisor will also be responsible for accounting matters, such as financial reporting, accounts receivable, accounts payable, budget preparation, and capital expenditures.
What You Will DoAssists in planning and organizing the internal administration of the office, and matters relating to labor laws, social security, etc.Advise personnel in matters relating to employment requirements and social security requirements.Assists in the preparation and monitoring of annual manpower and expenditure budget.Arrange for expatriates' employment and dependent passes and keep records up to date.Handle personnel matters, such as new hires, terminations, and training.Arrange client meetings and supervise office support staff.Maintain vacation records and schedule vacations of support staff always to ensure proper coverage.Handle legal matters, including acting as a liaison with lawyers.Supervises financial, tax, and bank audits and assists in the preparation of balance sheets. Also, reviews the work of the Accounting Department.Supervise employees' payroll and submit relevant details to external agencies and other organizations, such as Taxing and Labor Authorities.Prepares tax returns and maintains relations with the Treasury Department, and fee calculations as well as quotes.Controls office inventory, maintains office supplies, and assists with payments to suppliers.Responsible for marketing and contacts with local clients with regard to administrative procedures and fees.Support the ABS Health, Safety, and Quality System by working with other departments or staff to oversee the maintenance and compliance of the program.Responsible for ISO 9001 set up of local procedures and layout of forms.Supervise the maintenance and alteration of office areas, furniture and equipment, office security, and general housekeeping of office facilities.Communicates with suppliers of business services, such as office equipment, staff accommodations, insurance, building maintenance, and utilities.Maintain relations with the office landlord.Arrange travel ticketing, hotel accommodations, and other travel arrangements in the most advantageous manner for ABS.What You Will NeedEducation and ExperienceHigh School diploma or equivalentFive (5) years of experience preferred in similar roles.Knowledge, Skills, and AbilitiesAbility to develop a working knowledge of ABS Rules, Guides, statutory regulations, and related instructions, as well as the ABS Employee Safety Policy.Knowledge of the country's social security system.A good understanding of the country's labor laws.Certain accounting skills, including experience in computerized accounting systems.Strong interpersonal skills and experience.Strong organizational skills and experience.Strong computer skills, including word processing, spreadsheet, and graphics software experience.Reporting RelationshipsReports to a Manager, Director, or Executive level position.
