Hours: 40 hours Contract type: Permanent Location: Spain, Barcelona We are ever growing and this time we have an opening for an Agency Operator for a new office in Barcelona.
Reporting to the Port Manager of Barcelona (to be recruited), the Agency Operator will be responsible for providing 24 hours a day, 7 days a week on-call service to our Marine Clients to ensure the safe and smooth turnaround of all appointed vessels within the jurisdiction of the ports.
The job calls for a high sense of responsibility and reliability, where the person will be responsible for managing vessel requirements, booking relevant services, issuing all relevant shipping documentation, undertaking vessel boarding and performing any other tasks that relate to the job.
What you'll do: Manage the pre-arrival documentation process between vessel, port/terminal and government authorities.
Book port services for vessel berthing and sailing (arranging Pilots, Towage, Lines etc.).
Keep Principal and all stakeholders updated with berthing and sailing prospects and real-time progress reports when vessels are in port and working cargo.
Coordinate husbandry services for vessel, including but not limited to crew changes, technicians and ship visitors, spares, provisions, Cash to Master, bunkers and fresh water and the off-load of garbage.
Provide excellent ships agency services to all clients.
Ensure a smooth, quick turnaround of vessels, and that all items/requirements are promptly ordered/confirmed.
Board vessels as/where required.
Liaise with clients and port services on a daily basis.
Attend regular meetings with ports, terminal and suppliers.
Ensure all shipping documentation is issued on time and accurately.
Ensure data integrity for all vessel files and record all subsequent information into ISS internal systems.
Ensure compliance with ISS LRQA (Lloyds Register Quality Assurance) and/or customer specific standard.
Ensure all procedural Key Performance Indicators (KPI's) are met.
Follow internal and external procedures ensuring compliance both with ISS standards, customer standards and legal requirements.
Suggest improvements to existing processes and where appropriate create new processes to ensure operational effectiveness.
HSSE - Health, Safety, Security and Risk (mandatory requirements): Comply with all Health Safety policies.
Accountable for assessing HSSE risk and implementing risk controls within area of responsibility.
Accountable for reporting all accidents, incidents and near misses whether the persons are injured or not.
Taking action within area of accountability to ensure the HSSE of both the job holder and other persons who may be affected by acts carried out or failed to be carried out by the job holder while at work.
Ensure full compliance with the ISS HSSE Management System.
Carry out any other duties as are within the scope and purpose of the job as requested by the Line Manager and ensure full utilization of all ISS systems according to Standard Operating Procedures.
Who you are: 1-2 years of working with port agencies.
Good communication skills, oral and written.
Experience of, and assisted in, the implementation and optimization of Shipping deliverables.
Willing to travel to ports across the region which fall under the port office jurisdiction.
Driver's License.
Use of software and reporting tools.
Knowledge of customs and immigration procedures.
Good to have extra language skills.
