The tasks to develop include (but are not limited to):
Setup externally funded program work breakdown structure (WBS) in Budget management tools (ERP system and other tools) and ensure a "cost capture matrix" is in place, both for current awarded programs as well as programs in proposal stage.
Interface with Finance, controllership, and Sourcing functions to compose and submit financial reporting to prime contractor and/or external funding government bodies.
Facilitate and lead external accountant audits related to externally funded financial reporting, ensure full traceability of cost and hours to work package scope.
Act as financial contact to prime contractor and/or external funding government bodies.
Setup and maintenance of an hours booking system (based on e.g. Smartsheet) for all Customer departments.
Control of hours booking and escalation to project managers if hours booking is off plan.
Facilitate project technical reporting by interviewing project managers, work package leaders, and individual contributors to compose technical progress reports towards externally funded program leads (Prime contractor / external funding government bodies).
Support externally funded project proposal structuring & writing to support external funding project manager, particularly to ensure WBS and work packages are consistent with externally funded program requirements by respective government bodies.
Act on behalf of Customer for one specific externally funded program as a member of the project PMO team, consisting of representation of companies that are partners in this specific program.
Perform additional tasks to support department manager & external funding project manager on demand.
