Role Purpose: As the Health and Safety Coordinator, this role is responsible for managing and promoting Safety, Health, and Risk Management programs in accordance with company and regulatory policies to generate a sustainable preventive culture in the organization. This role will also ensure the development of the Health and Safety strategy for the EMEA Region. This role will report to the EMEA Head of Facility Management and will coordinate all H&S efforts (i.e., safety programs, safety initiatives, training activities, ergonomic compliance administration, etc.) for all our EMEA offices.
This position will have as part of their main tasks: Work with local FMs teams to monitor staff and evaluate if health and safety regulations are being followed.Health and safety program supervision within the assigned region.Investigate on-site accidents.Create plans to improve health and safety in the workplace.Educate staff on health and safety protocols.Prepare reports for management.Report incidents/accidents and carry out investigations as required. This position holds a diverse range of responsibilities, being involved in both tactic planning and day-to-day operations, with strong attention to H&S programs in Spain and UK. Supporting the engagement with key stakeholders on site locations to drive a positive health and safety culture. Supporting the wider business units in the development and delivery of health and safety strategy, identifying new opportunities to enhance the effectiveness of the health and safety function. Provide advice, support, and guidance on conventional safety issues.
Key Responsibilities: EMEA H&S Program CoordinationCoordinate and report on training done for EMEA employees.Accident and Near miss report management.Update H&S policy and procedures upon request.Support H&S Management System update as needed.Support H&S Management System implementation.Update and manage the EMEA H&S Village page.Coordination and compliance of all Spanish legislative external reporting obligations, per local H&S regulation guidelines:Annual Medical exams coordination, per local legislation.Quarterly H&S audit and reporting on H&S legal program.Employee H&S training according to local legislation.Safety and Prevention plan design and annual review, for all offices in Spain.CEG & CUAL Health and Safety and Security Steering Committee CoordinationAnnual H&S Calendar Planning preparation and Implementation.Quarterly reporting for EMEA H&S committee.Quarterly Workgroup (EMEA H&S Reps) meeting coordination and minutes taking.Quarterly SteerCo meeting coordination and minutes taking.Work with local FM teams to elaborate site H&S programs, including coordination of fire brigades, fire drills, first aid, and annual trainings as needed. Supervision of all H&S local documentation and H&S plans for all offices in the EMEA portfolio.Coordinate H&S induction training for all EMEA employees, directly or through FM local teams, as needed.H&S consultants and supplier managementAnnual review of services and costs.Monthly meetings and service reviews, with special attention in UK and Spain.Raise Purchase Orders and enter invoices onto purchase order system for all H&S regional suppliers.Support annual budgeting process as needed for all H&S operational costs.H&S AAA issues logCoordinate annual H&S Audits with Risk Engineers and FM teams in each EMEA country.Regular follow-up on issue logs until task closing.Ad-hoc reporting.Perform H&S audits and reviews to identify local or systemic gaps in the EMEA offices: Develop corrective measures, and implement solutions to sustain compliance with H&S local laws and company strategies, policies, or standards. Handle H&S incident investigations to identify and implement root cause corrective actions.Provide H&S service solutions, programs, standard methodologies, and technical mentorship to business management and FM teams to effectively and efficiently manage compliance and H&S risk mitigation for offices in EMEA.UKI Driving for work policy reporting and maintenance.Support local HR teams in Wellness program coordination, as needed.Any other ad hoc duties as required. Qualifications: Experience: Experience as a Health and Safety coordinator, preferred if in various EMEA countries.Proven experience within property or the built environment, ideally with a corporate background.Experience in influencing, engaging, and liaising with stakeholders across all levels of organisational staff.Excellent communication skills.Attention to detail.Excellent computer literacy skills.
