Reporting to the Enterprise Accounts (EA) Leader in Iberia, you are in charge of supporting the Business across the region from both an administrative and operations perspective. Responsibilities include the business operations side of the business.
A Day in the Life
Personal & Team support:
Personal support to the EA Leader:
Calendar management.
Travel organization (Concur).
Expenses support.
Team support:
Contract management.
Congress preparation and organization support.
Help with new team members onboarding.
Support in documentation and offers submission.
Customer-related activities:
Organization of customer-related events (meetings, trainings, ad boards) using Cvent.
Recording of HCP activities in Legal & Compliance tool (eCATS) (contracts set-up, event creation, payment).
Point of contact with Legal and Compliance department and ELM.
Meetings organization:
Organization of internal/external meetings, including trainings:
Full ownership of the logistics (conference room, catering, agenda, accommodation, transportation).
Main point of contact with the venue (find a suitable venue, contract, payment, logistics).
Effective communication with attendees.
On-site logistics when necessary.
Organization of teleconferences and video conferences (Zoom).
Finance support:
Purchase Requests/Purchase Orders creation (Ariba).
Monthly accruals.
Recharges.
Follow-up of payment and troubleshooting.
Budget tracking.
Vendor profile maintenance.
Business Operations:
Product inventory support.
Product expiry support.
Backorder management.
Product allocation.
Product orders tracking.
Must-Have Minimum Requirements
Minimum High School degree or equivalent.
Commitment and accountability are a must.
Desire to get involved in the business and be part of the Team.
Experience as a personal assistant or event manager.
Experience in contract management is a plus.
Proven direct exposure to high-level customers (physicians will be an asset).
Proven track record to manage multiple tasks and react adequately to changing priorities and last-minute changes.
Strong computer skills (Word, Excel, PowerPoint, Outlook, SAP).
Knowledge of eCATS and Cvent an advantage.
Perfectly fluent in English (Portuguese language will be appreciated as well as Italian).
Detail-oriented.
Organized in managing projects, able to prioritize, independent.
Positive attitude.
Flexible in a changing environment.
Passionate and interested in learning and developing new skills.
Ability to travel 10%.
