Job Purpose:To provide support to the property team.Key Responsibilities: - Produce and revise Standard documents and processes.- Be fully aware of the latest requirements in the management standards and procedures document and ensure that it is fully implemented both personally and by any direct reports.- Produce and manage graphic/creative content projects.- Keep standard graphics/promotional/campaign content management up to date and upload/remove from CMS when required.- Produce and keep Property Manual up to date.- Build up and maintain a database of contacts and property related issues through Property Cloud, GEMS, MDM, Fresh Service, and paper records. - Provide support to the operational team regarding using the system.- Monitor service level agreements with all contractors and services supplied so the company has a due diligence record- Manage a supplier database, periodically reviewing all suppliers for cost effectiveness.- Coordinate and be responsible for internal Property systems.- Prepare presentations, reports, and research when required.- Fill and submit licenses, electrical and water contracts, or similar applications. - Liaise with any support that Property department needs.- Undertake other duties as considered essential for effective procedures and services, as this list is not exhaustive.- Work with contractors and external architects to ensure the creation of appropriate construction and drawings if required.- Coordinate shop fitting and maintenance projects across the Group, ensuring brand standards are applied and work is cost effective if required.- Challenge landlords and authorities fit out and signage requirements with our business needs.- Provide full secretarial support to the property team.- Manage the diaries of the property team when required.- Typing business correspondence for the property team.- Liaise with suppliers and contractors, where directed.- Set up appointments/schedules with contractors for works to be carried out where required, i.e. repairs or maintenance of equipment.- Make travel arrangements and book accommodation for the property team ensuring costs are kept to a minimum where necessary.- Support on Designs where necessary.- Order property equipment and supplies where directed, maintaining sufficient but not excess stocks of stationery items.- Maintain an efficient and up-to-date filing system, both electronic and paper.- Ensure copies of leases are filed appropriately and a lease renewal reminder system is in place. - Ensure that the office is always organized and kept tidy and presentable.- Undertake any other task or ad hoc projects deemed appropriate to this role as directed by the head of the property team which may include assisting were necessary in the team's workload and follow through on projects/issues in his absence.Skills & Qualifications: - Native Spanish speaker and fluent in English is essential, good written and verbal skills. - Advanced use of Microsoft Office, in particular, PowerPoint and Excel.- Basic IT skills mainly on managing CMS for displays (Content Management Software). - Experienced in forecasting and cost analysis.- Strong communication skills.- The ability to use initiative along with excellent organizational and time management skills.- Exceptional problem-solving skills.- Ability to travel if required.- Preferably design skills and able to produce good quality designs in 2D/3D using AutoCAD/3D Software together with the ability to superimpose images using Photoshop/Illustrator/InDesign.#J-18808-Ljbffr
