About The Role & Team As a Project Coordinator, your primary responsibility will be to coordinate projects that make travel easy and safe for our customers at every step of the way, while also promoting sustainability and cultural diversity.
Our projects can be defined as implementation, installation, and configuration of hardware, software, and IT solutions for airports, ground handlers, and airlines in airports.
This role thrives in a fast-paced, dynamic, and agile environment that spans the globe and welcomes cultural differences.
To succeed in this role, you should have a results-oriented approach and appreciate different perspectives, and be capable of handling technological projects across different locations.
Additionally, you should be proficient in internal resources procurement and logistics, people relations, and be committed to creating sustainable value for our customers and the environment.
What You Will Do Project Coordination - perform, coordinate and track activities and deliverables for project completion.
Submit and coordinate change requests, manage risks, control works status and communicate status to senior management.
Perform all follow-up work needed to ensure all deliverables and changes are completed as planned.
You will manage simple projects throughout their life cycle and there will be times when you will be assigned to assist a senior project manager by managing sub-projects or key task elements.
With each assignment, you report regularly on the progress and manage each assignment through its completion.
Project administration - As a Project Coordinator, one of your key responsibilities will be project documentation and administration.
This involves creating and distributing meeting agenda items and meeting minutes, logging and raising risks and issues to the project team, documenting the lessons learned, handling the close-out process documentation requirement, and managing recycling activities.
Your ability to write clearly and accurately is crucial to the success of the project.
Project Procurement and Logistics - Collaborate with the procurement department to manage the procurement of goods and services required for the project.
Communicate the project requirements, budgets, and timelines to the procurement team and check the status of goods and materials that are being procured for the project.
Coordinate with the Shipping team and suppliers to track delivery dates and ensure that goods are received as scheduled according to SITA Sanction Policy and export control laws and regulations.
Collaborate with the accounts payable team and suppliers to ensure that payments are made according to the agreed-upon terms and schedules.
Additionally, effectively handle any logistic delays resulting from supply chain or other factors aiming to address and minimize the impact on the project deliverables.
Project improvement - Conduct research on various topics and issues that support quality improvement on projects.
This can include analyzing and reviewing past project documentation and lessons learned, collecting and consolidating Customer Satisfaction Survey results, and researching improvement activities that can have a positive effect on project work assigned.
Project other activities - As a Project Coordinator, you contribute to or create various project documentation such as the Procurement and Logistics Plan, Environmental Plan, and assist other project team members as needed.
Depending on project scale, you may also be involved in inventory and warehousing tasks, ensuring adherence to warehousing practices, proper storage, health and safety requirements, and the use of specific warehouse equipment.
Additionally, you play a vital role in the project's quality process, by monitoring and guiding the team to meet quality standards while identifying and addressing any potential gaps.
Qualifications EDUCATION QUALIFICATIONS Business or Administrative or technical degree Formal project management training French speaking is valuable, English is mandatory Experience Mandatory: You have one year of experience in some activities like integration, delivery, operations, or general IT project management on one or more technical, general IT, or Infrastructure projects within a commercial environment.
Optional You have purchasing and logistics experience.
You also have experience with IT solutions in the travel and transportation industry.
