JOB DESCRIPTION PROGRAMME OFFICER Main Duties and Responsibilities · Programme Management: Supporting the elaboration, coordination and organization of the programme Developing the timetable of the programme for the entire academic year, taking into consideration the programme structure, professors' preferences and other stakeholders' availability (e.g.
external speakers), and of course student experience Updating the relevant programme documentation on a yearly basis Managing face-to-face classes, including room reservations, and ensuring a positive professor and student experience · Academic Trips Events: Supporting the Deputy Director in the planning, organization, and execution of academic trips (large groups), including preparation, coordination with travel agencies, and accompanying the group during the trip Planning and executing programme trips (large groups), including budgeting and coordination with travel agencies and students Planning and executing programme events and ceremonies, including orientation and graduation Organizing events, which includes contacting the suppliers and audiovisual equipment for the filming of the events, reserving and organizing the event room and ensure that it meets the legally required requirements, passing attendance sheet before event starts · Professor and Course Support: Preparing the necessary materials for the delivery of classes, according to what is established by each professor Supporting professors as needed during the design, production and delivery phases· Liaising with professors/speakers on all administrative aspects of courses, e.g.
distribution of course material, timetables etc.
Supporting the management of the LMS platform and courses · Student Support: Providing students with a positive and excellent experience and act as their first point of contact Keeping track of students' class attendance Supporting the Deputy Director's communications with students Liaising with students on administrative aspects, e.g.
timetables, rules and regulations, feedback, marks and grading Organizing meeting with Class Reps (Delegates) · Data and Compliance Management: Ensuring the accuracy and reliability of academic and student information records Ensuring compliance with data protection regulations and access to information policies Keeping track of all courses, professors, feedback, marks and grading and keep internal records of this information · Incident Resolution and Continuous Improvement: Resolving incidents within the scope of responsibility, addressing both student and faculty concerns Detecting and proposing continuous improvement actions to optimize work processes · Collaboration and Meetings: Collaborating regularly the Academic and Deputy Directors Collaborating daily with the other Programme Managers Collaborating with other Programme Managers on other campuses for face-to-face exchange programmes Supporting the Academic and Deputy Directors revising syllabi Supporting the Academic and Deputy Directors with accreditations Collaborating, when necessary, with other departments including: Student Services, Career Services, Finance, Admissions, Marketing Participating in department meetings and interdepartmental meetings when required Skills Strong IT skills (Excel, Word, PowerPoint, Google Suite) Fluency in English and Spanish, other languages such as, French are welcome but not required.
Excellent verbal and communication skills The ability to work independently and as part of a team Knowledge of digital learning spaces such as Canvas, Moodle, Blackboard or any LMS platform is desirable Able to use platforms such as Zoom and Google Hangouts Comfortable with public visibility (e.g., events) Willing to engage with social media activity (e.g., on LinkedIn) Strong ability to work with teams locally and internationally Experience and Education Degree level or equivalent Experience in digital learning and coordination Experience working in an international environment Previous experience in learning and development or higher education desirable Conditions Temporal position (maternity leave replacement).
Possibility to continue depending on the internal needs and performance.
