IE University is seeking a highly skilled and creative Program Assistant to contribute to our cutting-edge educational initiatives within the IE School of Politics, Economics and Global Affairs Masters department!The Program Assistant is the first point of contact with students, professors and providers for events on a day-to-day basis. The Program Assistant will assist the Program Management team by carrying out all administrative tasks necessary for the smooth running and delivery of the program. This role reports to the Program Manager and the Executive Director.In particular, this role is suitable for a person aware of the importance of customer service, with qualities of good adaptation to different scenarios, a good understanding of the priorities of a management team and capable of carrying out tasks as diverse as important at the same time.Responsibilities:Your role as a Program Assistant will involve:The candidate must feel comfortable working in a busy environment that will require multi-tasking and the ability to manage a high volume of work. We are looking for a person prepared to understand the main tasks of the position and to act proactively. Also, the successful candidate should be detail-oriented, enjoy interacting with students, and be a team player. The most relevant tasks managed by the Program Assistant include but are not limited to:Attend and support the students and professors on a daily basis.Manage a high volume of e-mail and respond on time to student queries.Liaise and coordinate with other departments (Registrar, Planning…) on a wide range of administrative issues.Process internal expense reports and do a good use of budget.Compile and update databases with student information.Manage the logistics of the program deliveries, catering, organization of extracurricular events (simulations, visits, etc.) and travel arrangements.Analyze existing data-gathering systems and procedures to support their improvement and the development of new ones.Deep knowledge of the program's timelines in order to work proactively and independently on the delivery of them.Coordination of trips for students, faculty and staff of the department.Prepare summaries of meetings with stakeholders that help the team know what actions to focus on to improve programs.Prepare communications for students and candidates aligned with the School mission and goals.Qualifications:To thrive in this role you should have:Bachelor's Degree.Fluency in Spanish and English, and good communication skills (verbal and written).A track record of customer interface, excellent organization skills, and a "can-do attitude".Ability to research, analyze and present material clearly and concisely.Proficiency in Microsoft Office (Word, Excel and PowerPoint).Curious, open to learn and with team-working skills.Strong desire to work in a multicultural environment
