Overview: The Assistant to IE School of Architecture and Design will help the Associate Dean, Associate Director of the School, and Junior Manager with day-to-day issues related to the Real Estate programmes of the School.
His/her primary responsibility is to guarantee the efficient flow of the daily operations of the masters and degrees.
The Assistant will report to the Associate Dean, Associate Director of the School, and Junior Manager.
He/she will work alongside faculty, professors, and students to ensure optimal development of the programs.
Responsibilities: Administrative tasks: Help with day-to-day administrative tasks such as filling in expenses, booking rooms for meetings, preparation of materials for meetings, and overseeing the daily operations of programs.Liase with travel agency to manage the booking of flights and accommodation for faculty.Manage the requirements needed for the implementation of VC sessions for masters and any other courses that may require online support, such as VC sessions on Saturdays.Interaction with Students: Meet with students to solve issues, offer advice, or provide support with empathy and sensitivity on a daily basis.
Manage the relationship with students proactively.
Offer support to students facing academic difficulty during F2F and online periods.
Identify ways to improve the student experience.Interaction with Professors and other departments: Under the coordination of the Associate Dean and Associate Director of the School, liaise with professors to communicate specific student or section situations and manage all issues related to the courses.
Assist the Junior Manager in preparing materials for coordination with Academic Directors and the Admissions, Marketing, Planning, Documentation, Student Services, Campus Life, and Maintenance Departments in the development of the programs.
Help with graduation celebrations and School events; the post holder will be required to oversee event activities, ensuring that adequate resources are available and plans are put in place to guarantee success.Internal Development: Work together with other Program Directors and Assistants with professionalism and maturity.Qualifications: Requirements: At least 3 years of experience and a Master's degree (preferable).Extremely organized and very detail-oriented.International profile and experienced in working with other cultures.Very high level of English and Spanish is a must.Positive and proactive attitude, service-oriented and student-focused.Show initiative to approach challenges with an open mind.
