The IE School of Politics, Economics and Global Affairs Bachelor department (SPEGA) is looking for a Program Assistant to join its team!
The Program Assistant is the first point of contact with students and professors on a day-to-day basis.
The Program Assistant will assist the Program Management team by carrying out all administrative tasks necessary for the smooth running and delivery of the program.
This role reports to the Program Manager and the Program Directors.
In particular, this role is suitable for a person aware of the importance of customer service, with qualities of good adaptation to different scenarios, a good understanding of the priorities of a management team, and capable of carrying out tasks as diverse as important while delivering a positive impact on their daily interactions.
Responsibilities: Attend and give logistical support in the organization of extracurricular activities (trips, events, visits, catering, challenges, etc.)
and travel arrangements.
Liaise and work with diverse stakeholders including students, IE staff, student clubs, and suppliers (planning, documentation, payments, etc.)
among others.
Contribute to the preparation and edition of internal and external communications (newsletters, weekly announcements, webpage, etc.).
Process payments and reimbursements and manage the office inventory.
Provide support in administrative issues with transversal departments (Administration, Careers, Campus Life, Marketing, IT, etc.).
Attend and support the students, professors, and suppliers on a daily basis, managing a high volume of emails and responding to their queries.
Compile and update databases with student and alumni information.
Assist in managing the day-to-day operations of a set of Bachelor's degrees, ensuring the quality of our programs.
The candidate must feel comfortable working in a busy environment that will require multi-tasking and the ability to manage a high volume of work.
We are looking for a person prepared to understand the main tasks of the position and to act proactively.
Also, the successful candidate should be detail-oriented, enjoy interacting with guests and students, and be a team player.
Qualifications: Bachelor's Degree (background in IR, Political Science, Economics, etc.
is desired but not required).
Fluency in Spanish and English.
Good communication skills (verbal and written) and ability to liaise with a different range of stakeholders.
A track record of customer interface, excellent organization skills, and a "can-do attitude." Ability to research, analyze, and present material clearly and concisely.
Proficiency in Microsoft Office (Word, Excel, and PowerPoint) and preferably knowledge in other programs such as Canva, Smore, WordPress, etc.
Interest in the topics of the School's academic footprint (politics, economics & global affairs) is desired.
Curious, open to learn, and possess team-working skills.
