P3's size and stability enable us to take a global view and yet at the same time we are just the right size to maintain our agile and flexible approach on local real estate markets.Together, we create an environment that encourages personal growth because we know we are successful mainly thanks to the people who make P3.We recognise and reward outstanding performance and motivate people to contribute to our mutual goals and turn their good ideas into great outcomes.We encourage people to have ownership, make decisions and accept responsibility for them.WE ARE LOOKING FORWe are looking for an experienced Portfolio Property Manager to join our team in Madrid (Spain).SOME OF THE INTERESTING CHALLENGES AHEAD OF YOUCoordination of the Property Management in-house team: technical and financial.Management of the portfolio strategy within the tenant.Lease contract conditions management: security deposits and legal deposits, indexation, service charges reconciliation process.Capex and Opex execution responsible:Prepare the annual budget, maintenance forecast, major works, Capex, 10-year major item budget/Capex when available.Regular report on the situation of Opex and Capex execution situation: budgeted / not budgeted.Coordinate and supervise the Capex Budget and Forecast execution - Long term investment plan of the assets to increase portfolio value.Coordinate and manage within the technical Property management team of the tenders, purchase orders, design and construction contracts, interventions, proceedings, documentation, legal, technical and commercial checks, payments etc. in relation to: fluids/consumptions, regular and occasional controls, regular, occasional and major maintenance, current repairs, major repairs and capital expenditures.Regular site visits (at least one per quarter), and when needed by tenant request or significant capex execution ongoing.Tenant meetings whenever necessary.Follow up and fulfil all insurance requirements - handle claims (declaration, technical expertise, quotes, repairs, etc), negotiation on reimbursement, follow-up with tenants.CRM management (YARDI) to have the updated info uploaded on time: Budgeting process, quarterly forecast, invoicing.Coordinate periodic technical inspections.Set-up, handle, prepare all documentation for hand-over and hand-back of premises to and from tenants:Perform the handover procedure: inspection of the premises with the tenant, identifying and proper documentation (written description and photos) of all defects, manage repairs.Assist in leasing of rentable space in terms of keeping schedule and warnings to lease ends/break notice dates, coordinating and carrying out inspections, and preparing cost estimations for tenant fit outs and other works.Draft and submit to Asset Management the corresponding Investment Memorandums to request for approval the Capex or repairs and maintenance activities.Liaise with the public authorities in all day-to-day matters.Calamity availability: Property Manager should be reachable 24 hours per day, 7 days a week, for emergency complaints and calamity in case it occurs.WHAT YOU NEED TO SHINE IN THIS ROLEUniversity degree in Technical Engineering / Architecture (Real estate MBA possible)Commercial skills - negotiation skills4-5 years of experience in the property management fieldEnglish language knowledge (min.
