This role sits as part of a wider team of c.25 PAs and EAs, spread across our 7 EU Offices.
They work together collaboratively to ensure smooth running and effective administration support to colleagues across the business.
This description is only a guide to what might be required but the following provides an overview of the core tasks in this role:
PA support: including diary management, arranging meetings, social events and booking away days, both in person and virtual;Facilities Support: assisting the Director of Facilities and being the key contact for day to day office and supplier management, ensuring health and safety requirements are complied with;Report preparation: including reviewing, proofreading, translating, formatting miscellaneous reports and documents;Expense Management: Preparing and submitting cash and credit card expenses for the Madrid management team;Printing and Binding: Documents as and when required for meetings for Madrid colleagues;Proposal Support: Supporting the team in winning business by providing admin support, and pulling together documents such as notarised company certificates, and then submitting proposals when finalised;Contract Management: Acting as representative for new contacts, ensuring all projects are logged and set up on our database, and archiving files;Practice Development: Supporting production of presentations, coordinating with seniors, and ensuring our database has our key contacts logged;Working with other Business Management Teams: To support on local Finance, IT and People issues.Essential skills and experience: Proven experience of PA and office management experience;Excellent communication skills both oral and written;Flexibility and adaptability to effectively work in a fast-paced environment;A problem solver who remains calm and effective under pressure;Microsoft Office (Word/Excel/PowerPoint) to a good standard;Spanish and English language capability.Desirable skills and experience: French or German language capability.In addition to stimulating and thought-provoking project work, we offer numerous benefits to support you inside and outside of work.
