We are looking for a dynamic and organized part-time Office Assistant to join our team in Madrid.
The ideal candidate will play a crucial role in maintaining office efficiency, supporting our team, and assisting the Country Director.

Working Hours: 50% As our new colleague you will: Greet and welcome office visitors Oversee day-to-day office operations.
Order supplies, IT equipment and other materials in line with budgeted costs Maintain contacts with suppliers, landlord, office cleaning team and any other service provider Ensure that all rooms of office are clean and representative Responsible for invoice management: registering invoices, reviewing and controlling in a timely manner according to internal control procedures Use an Invoice Management system to keep track of all invoices and overview of payment Main person responsible for travel organization, getting approvals for the local team in compliance with internal applicable policies Provide administrative support to the project development team.
Assist in the preparation of project proposals, reports, and presentations.
Support Finance and HR proactively in forecasting budgets and updating reports of actual expenses vs budgets.
Keep track of annual leaves and other absences of local Team Manage all incoming, outgoing mail, meeting organization Clerical Duties such as copying, printing and binding of material Ideally you have: Experience as an office assistant, office administrator, or in another relevant administrative role.
Proficiency in MS Office (MS Excel, MS Word, MS PowerPoint, in particular), familiarity with any ERP and Document control system Excellent organizational and time management skills.
Strong written and verbal communication skills.
Ability to multitask and prioritize work.
Attention to detail and problem-solving skills.
High school diploma or equivalent; additional qualifications as an administrative assistant or secretary will be a plus.
