Job Description
Location: Madrid (In site, not eligible for hybrid work)
As an Office Manager, you will be responsible for the overall operation and management of our Madrid office.
Your Role
Greet and welcome visitors, direct them to the appropriate person or department, ensure access cards are given to all employees, receive external visitors, and ensure all post is delivered and sent properly.
Manage the front desk area, including keeping it clean and organized, ensuring visitors are comfortable while they wait.
Oversee day-to-day operations of the office, including managing administrative support staff, maintaining office supplies, and managing office equipment.
Work with HR to develop and implement office policies and procedures, ensuring they are followed by all employees.
Monitor and maintain office facilities, including managing office leases, overseeing office renovations, and ensuring the office is clean and safe.
Maintain records and files, including electronic and paper records, ensuring they are organized and up-to-date.
Coordinate with other departments within the organization to ensure office operations align with overall company goals and objectives, and support the onboarding of new employees.
Manage the office budget, including monitoring expenses, negotiating contracts, and identifying cost-saving opportunities.
Serve as the point of contact for external vendors and service providers, including managing contracts, overseeing service delivery, and resolving any issues that arise.
Assist other staff members with various tasks, such as preparing documents or making copies.
Perform other duties as assigned.
Overall, the Office Manager is a crucial member of the organization's team, responsible for ensuring the office runs efficiently and effectively, and that employees have the resources they need to do their jobs.
Qualifications
Bachelor's degree in Business Administration, Management, or a related field.
At least 3-5 years of experience in office management or a related field.
Strong communication and negotiation skills with a range of internal and external stakeholders.
Fluency in Spanish and English, with other foreign languages a plus.
Initiative and organizational skills to manage a multi-task role independently.
Ability to manage multiple tasks and priorities simultaneously.
