Job Purpose: In this position, you will be managing the Welcome desk and will be part of the Event Management Team of the Caterpillar Malaga Demonstration and Learning Center (MDLC). You will be responsible for various administrative tasks and you will provide operational support to a variety of events for dealers, customers, and Caterpillar personnel.
Job Duties/Responsibilities include, but are not limited to: Manage MDLC Welcome Desk reception area to provide support for day-to-day tasks for the entire office such as ordering and provision of uniforms to all MDLC staff, inventory and purchasing of office supplies, management of courier services (example DHL), receiving and managing incoming telephone calls, welcoming visitors and attending to their needs and requests (taxis, meeting room booking, etc.).Coordinate, plan, and schedule skills development activities, seminars/conferences, product demonstrations, and special events, which includes the hosting of high-level Caterpillar leadership and dealer management groups. Due to the number and variety of events at MDLC, this position requires logistics planning and scheduling.Provide back-up for other members of the Events Management team.Identify and allocate the necessary logistics and resources to support visits, including the reservation of conference rooms/classrooms, support equipment, machines, catering, hotel accommodation, transportation, dinners, and other additional requirements.Maintain the MDLC Events Schedule updated ensuring the availability and allocation of required resources, resolving any resource conflicts.Manage the communication process with dealers, suppliers, and internal Caterpillar groups. Liaise and communicate on an ongoing daily basis with other team members, event sponsors, training instructors, participants, suppliers, and senior managers.Coordinate invoicing for events. Instruct accounting and suppliers to invoice visitor groups for MDLC services. Approve incoming invoices for event-specific supplier services, instructing accounting to make payment.Identify and resolve scheduling conflicts and problems quickly and correctly and implement the best course of action within department guidelines to achieve the desired result.Required Skills:

Ideally with knowledge of another foreign language.We are looking for a person with good communication and social skills, experienced in customer support and ideally, who wants to establish himself/herself in this position for a mid/long term.
