You will work in the Madrid office comprised of ~1,200 colleagues. As a member of the office services and facility team, you will partner with colleagues across our Madrid, Barcelona, Valencia, and Lisbon offices to provide a range of support.
This role is 100% office-based, and standard hours are 9:00-18:00. This is a varied role to provide support and gain experience within the firm.
Your impact within our firm
As an office services coordinator, you will play a crucial role in supporting the daily operations of our offices, ensuring a safe and productive environment for our colleagues. Working collaboratively, you will help maintain and enhance our office facilities, directly contributing to the success of our dynamic Office Service team.
Responsibilities will include: maintaining the physical space; setting up conference rooms; supervising external contractors, vendors, and suppliers; monitoring contracts for compliance, and performing quality control inspections. This may also include overseeing construction efforts and/or supervising buildouts. You will also interface with building management in all aspects of facilities administration and develop and maintain relationships with local vendors.
The office services coordinator is a primary liaison with colleagues on facility-related needs, such as forecasting space requirements and creating and maintaining seating charts. You will update and disseminate relevant facility-related policies and procedures in alignment with firm policy. You will also play a key role in planning and executing on- and off-site office events, in partnership with relevant committees.
Your qualifications and skills Bachelor's degree or advanced-level certification preferred 1+ year of experience in office services, facility management, or administration in a professional environment Proven project management skills, including the development of standard operating procedures (SOPs), are preferred Strong organizational and time-management skills with the ability to prioritize tasks Professional fluency in English and Spanish with strong verbal and written skills
