We've raised nearly $100 million from investors like GE Ventures, the Singapore Exchange, and Aleph, making and have gotten the BBC, TechCrunch, and the Wall Street Journal excited about freight.As one of the largest tech platforms for a huge industry, we're looking for an Office Manager (or, as we prefer to call them, Office Orchestra Conductor) to coordinate and manage administrative duties in our beautiful Torre Glòries Barcelona office and support our remote employees. You will be responsible for greeting visitors, managing office supplies, and supporting staff with administrative tasks along with our Finance and HR Team.ResponsibilitiesAssist in the onboarding, offboarding, and ongoing processes for employees: Paperwork preparation, signature, benefits management, Risk Prevention supervision, etc.Make sure all employees' documents are organized in a compliant way.Ensure employees, both in Barcelona and fully remote, have what they need to get their job done, organizing the office layout, and ordering stationery, equipment, onboarding and offboarding for employees.Serve as the point person for office manager duties including maintenance, mail, supplies, equipment, bills, errands, shopping, etc.Provide general support to visitors.Address employees' queries regarding office management issues.Plan in-house or off-site activities & initiatives, like parties, gifts celebrations, and conferences.Maintain the office condition and arrange necessary repairs.Liaise with facility management vendors, including cleaning, catering, and security services.Work with our HR team to ensure office policies are updated and maintained.Organize office operations and procedures.Coordinate with our IT department to keep office equipment in good condition.Assist with basic technical issues, questions, and problems in a timely manner.Manage contract and price negotiations with office vendors and service providers.Participate in other HR projects.RequirementsBasic qualificationsExcellent written and verbal communication skills both in English and Spanish.Outstanding interpersonal skills and results-driven with a 'can-do' attitude.Strong organizational and planning skills in a fast-paced environment.A creative mind with the ability to suggest improvements to our Office and HR processes.Proven experience as an Office Manager, Front Office Manager or Administrative Assistant.Proven performance in delivering business or first-class customer service.Knowledge of Office Administrator responsibilities, systems, and procedures.Basic hands-on experience with office machines.Excellent time management skills and ability to multi-task and prioritize work.Attention to detail and problem-solving skills.Preferred QualificationsExperience with in-office basic IT support for employees.Additional experience in HR.Experience using creative tools such as Canva.Why is WebCargo exactly where you want to work?
