Opera is excited to offer a freelance opportunity for a dynamic and resourceful Office Manager to join our team in Barcelona. This role is critical in supporting our vibrant office environment and ensuring efficient day-to-day operations. This part-time position requires the Office Manager to work on-site for 20 hours per week, where they will be instrumental in creating and maintaining a productive workplace. The role reports to Corporate HR in Oslo, Norway.
This role is ideal for someone who is self-motivated, detail-oriented, and enjoys working in an international collaborative environment.
Role & Responsibilities:
Office Management and Supplier Coordination: Oversee workspace maintenance and organization, including furniture, equipment, and supplies, while negotiating and managing suppliers contracts.
Human Resources Support: Assist in welcoming new employees and supporting their onboarding processes, oversee benefits enrollment, and coordinate employee wellness activities to enhance engagement and cultivate a positive office culture.
Health & Safety: Ensure the office environment complies with health and safety regulations and support the implementation of corporate policies.The office manager will be in charge of maintaining, liaising and coordinating the annual activities in compliance with the annual plan of Riesgos Laborales.
Event Planning: Plan and coordinate internal events, meetings, and local social activities.
Internal Communication: Serve as a point of contact for employee inquiries and requests, facilitating communication between different departments.
Office Budget: Manage the office budget, controlling expenses and justifying investments in improvements or additional resources.
Job Requirements:
Fluency in English and Spanish.
Must be self-employed and able to work legally on a freelance basis.
Proven experience as an office manager or in a similar assistant role.
Strong organizational and multitasking skills with great attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Suite, Jira.
Ability to work independently and manage time effectively.
Well-established network with local vendors and suppliers in Barcelona.
Previous experience within Human Resources or an interest to develop in this area is a plus.
Exceptional communication and relationship-building skills, with a creative and proactive approach to problem-solving.
Comfortable and confident in dealing with senior management and C-level executives.
