In this role, you will play a crucial role in ensuring the smooth operation of the office and supporting our team. You will be responsible for coordinating various administrative tasks, managing office resources, and maintaining effective communication with internal and external stakeholders.If you are motivated by impact and making a difference, whilst working with some of the best minds in the industry, this may be the role for you.Key Responsibilities:Collaborate with team members to ensure they have appropriate office spaces, including workstations, meeting rooms, and common areas.Coordinate office layout and seating arrangements to optimise productivity and comfort.Communicate with contractors and service providers (e.G., cleaners, waste removal, caterers) to maintain a well-functioning office environment.Oversee maintenance and repairs to keep the office clean, safe, and operational.Act as a bridge between the Madrid office and the UK office.Relay important information, updates, and policies from upper management to the local team.Represent Health & Safety initiatives in the Madrid office.Collaborate with the UK office to ensure compliance with local regulations and best practices.Assist the Talent team in recruitment, onboarding, and employee engagement.Work closely with the UK office to align talent management strategies.Order office supplies, stationery, coffee, fruit, and other necessities.Monitor inventory levels and restock as needed.Facilitate the onboarding process for new employees, ensuring they have the necessary resources and information to integrate smoothly into the team.Collaborate with the UK office to create and document company procedures specific to the Spain office, ensuring consistency and adherence to established guidelines.Qualifications:A bachelor's degree in business administration, management, or a related field is preferred.Previous experience in office management, administration, or a similar role is desirable.Excellent communication and interpersonal skills.Strong organisational abilities.Proficiency in office software (e.G., Microsoft Office, Google Workspace).Attention to detail and problem-solving skills.Multilingual Proficiency: Fluent in Spanish and English.What will set you apart:Being skilled in event planning and coordination would be advantageous.
