RESPONSIBILITIESOversee and take charge of all administrative duties in the officeHandle orders of office supplies according to budgetResolve issues with the facilities, such as needed maintenance or emergency repairs by contacting the appropriate contractor/service providerPerform receptionist duties such as welcoming visitors and answering phone callsAssist with office layout planning and office setupsManage and maintain office IT infrastructureLead the planning and execution of company events, conferences, and team-building activities, including travel bookingsCollaborate with TR Recruiter to align office policies and practices with the company's culture and goals, including onboarding and employee experience initiativesManage the cleaning and other staff via outsourced/in-house resourcesImplement and maintain procedures and office administrative systemsManage contract and price negotiations with vendors, service providers, and the landlordAssist in managing Health & Safety requirements as per local normsProvide other administrative support as necessary, including scheduling group meetings, maintaining calendars, and creating reportsSuggest improvements to enhance the office environmentManage internal and external correspondence on behalf of the senior management as well as mail and courier services for the companyAttend meetings with or on behalf of the CEO, taking detailed notes, capturing key decisions, and documenting action itemsReport directly to the Head of Operations and Compliance and the CEOREQUIREMENTSMinimum 2 years experience as office manager or personal assistantExcellent level of English and Spanish; Catalan or other languages are beneficialAbsolute discretion – you may be exposed to confidential informationExcellent communication skillsAbility to work autonomously and within a team, in a fast-paced environmentStrong organizational and time management skillsMust be proficient with Microsoft Office and Google productsAttention to detailBudgeting and problem-solving skillsBENEFITSPrivate health insuranceCompany MacBookBrand new office with magnificent viewsFree coffee and snacksSend your application to ******.
