Role | At Ukio, we are looking for an Office Assistant & Receptionist to join our People team and collaborate closely with the Office Manager & Events Planner to level up the office's team experience. You will be responsible for organizing and coordinating administration duties and office procedures across multiple markets, meanwhile focusing on our Head Quarter in Barcelona. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety. You will also be our main office ambassador! You will create, promote, and maintain our culture across all our teams and spaces. Reporting into the Office Manager & Events Planner, you will be responsible for having an organized and excellent office environment. You will also be responsible for supporting our IT Help Desk on onboarding tasks and office setup. This is a dynamic role with the opportunity to shape it into your own!

Responsibilities | Serve as the point person for office manager duties including supplies, equipment, errands, etc.Coordinate and support delivery for all Ukio offices across Europe to ensure local teams have the necessary groceries and office supplies.Support in organizing the office layout and ordering stationery and equipment.Execute necessary repairs at the office.Track and organize all office equipment.Support facility management vendors, including cleaning, catering, and security services.Provide general support to visitors.Assist in the onboarding process for new hires with their welcome and office tour.Assist remote team onboarding on their welcome and equipment delivery.Address employee queries regarding office management issues (e.g., stationery and travel arrangements). About you | Valuable 1 year experience as an Office Assistant, Receptionist, or Administrative Assistant.Excellent time management skills and a natural ability to multitask.Strong attention to detail.Strong organizational and planning skills in a fast-paced environment.Patience and intuitive skills are key parts of this role, each day is different and it's important to be able to adapt.Problem-solving ability to identify the cause of issues, critically consider, and offer a range of potential solutions.Ability to stay calm in stressful situations.Reactive to the needs of our office and people.Excellent written and verbal communication skills in both English and Spanish.A creative and enthusiastic mind with the ability to suggest improvements.Warm, friendly, and able to get along with a variety of personalities.A proactive, helpful attitude and the ability to be flexible in various situations.Flexible, resilient, and content with ambiguity and changes.Confident in working in cross-functional teams.Comfortable performing in a start-up environment.
