We are seeking a proactive and highly organized Office Assistant to join our team and support the Spanish entity of HITEC. This role involves a mix of administrative, secretarial, and facilitating responsibilities, making it ideal for someone who thrives in a dynamic environment and enjoys being the backbone of office operations. This is a part time position for about 25 hours a week.
Main activities Administrative Support: Provide general administrative assistance, including handling phone calls in a professional manner, welcoming visitors, and managing incoming and outgoing post. Financial Support: Assist the Financial Accountant (based in the Netherlands) and our external administrative consultant in Spain with invoice and document management. Office Facilitation: Book travel arrangements, maintain office supply stocks, and manage orders for office supplies and furniture. Support field service colleagues with necessary site access documentation. Coordinate required training for field service engineers and manage safety audit preparations. Facility Management: Ensure that the company's premises are well-maintained, orderly, and presentable. Communication: Provide proactive support to management and team members, identifying opportunities for process improvements. Maintain clear communication with colleagues
Requirements Education: Qualification in administrative and secretarial work, preferably at a vocational secondary education level. Experience: 3-5 years of relevant experience in a similar administrative or office support role. Languages: Fluent in both written and spoken English and Spanish. Technical Skills: Proficient with MS Office applications and standard secretarial tools. You are highly organized, detail oriented, and able to work indedependently. You are pro-active, so you take initiative and enjoy finding ways to improve the daily operation. You are a strong communicator and a team player.
