.Join our passionate team as our Office Manager in our exciting startup. We are seeking a highly organized and motivated professional to manage and coordinate all operational and administrative activities of our office. As an Office Manager, you will play a crucial role in efficiently maintaining our day-to-day operations, ensuring a productive and collaborative work environment for our talented team.Tasks:Responsible for the physical reception of the company.Supervise and maintain the office workflow.Take full ownership of improving the office to ensure a productive, comfortable, and safe work environment for employees.Provide personal assistance to board members, including managing schedules, coordinating personal travels and bookings.Organize and coordinate corporate events and board meetings, including logistics, catering, and material preparation.Manage and oversee special projects assigned by the board members and ensure successful execution.Control and manage office supplies and maintain inventories in collaboration with multiple vendors (repairs, food and cleaning supplies, etc.).Produce and maintain reports and compose correspondence.Maintain constant communication with the building's property management: reporting incidents, controlling expenses, etc.Support the Finance department with required invoices.Support the HR department with assisting with administrative tasks and supporting team setup.Perform general reception tasks, such as answering and redirecting phone calls, welcoming visitors, addressing inquiries, and directing them to the appropriate person if necessary.Maintain confidentiality and security of privileged information and sensitive documents.Establish and maintain effective relationships with external partners, vendors, and other key stakeholders.Purchase office supplies and equipment.Supervise cleaning staff and manage supplies.Provide general administrative support to senior management and other teams as needed.Requirements:At least 2 years of professional working experience, preferably in office management/event management or project manager.Excellent knowledge of English and Spanish both spoken and written. Job interviews will be conducted in English.Experience in a high-pressure, dynamic, and fast-moving environment with a multinational team.Excellent organizational and time management skills.Strong verbal and written communication skills.High attention to detail and accuracy in work.Ability to work autonomously and make informed decisions.Capacity to handle multiple tasks and priorities effectively.Excellent interpersonal skills and ability to work in a team.Adaptability and responsiveness to changing situations.Customer service orientation and focus on internal customer satisfaction.Proactive mindset and problem-solving orientation.High levels of confidentiality and professional ethics.Positive attitude and motivation to contribute to team and company success
