Job Scope:
1. Helping the department head carry out the daily activities of the planning section.
2. Planning, analyzing, and control of materials.
3. Communicating with all departments concerning material availability.
4. Documenting and reporting.
Duties & Responsibilities:
Assisting the department head in carrying out the daily operations of the Planning Section and execution of plans to achieve goals.
Plot the sales budget as the initial basis of Purchase Requests prior to the start of the fiscal year and update quarterly or monthly based on forecasts submitted by the Product Manager.
Conduct Material Requirement Planning (MRP) daily by exploding BOM of all finished materials (FG) to check availability of packaging (PM) and raw materials (RM) based on incoming Sales Orders.
Check raw materials availability (system-based) based on incoming Sales Orders and coordinate with WH/Dispensing Team the actual quantity of some materials to assure the actual quantity of product to be produced, as the need arises.
Create Purchase Requests (PR) of RM and PM as a result of MRP and provide Purchase Request Justification Report (PRJR) as an attachment to justify the said PR quantity.
Provide and issue Confirm Order for Production (COP) to Production Head for all incoming orders with complete materials for Production Scheduling.
Coordinate with Product Manager (PM) and/or Customer Service Department (CSD) for production prioritization and material allocation based on demand and as needed.
Keep track of key performance indicators like computation of Turn Over Rate monthly and Forecast Accuracy (Forecast vs Actual Sales), Order Fulfillment and achieve the target.
Pushing the on-time arrival of materials through consistent follow-ups and coordination with Procurement and Importation and initiate discussions with the organization if issues arise.
Pushing the CSD and/or sales the schedule of production on open orders awaiting advice to produce and delivery of the undelivered sales order.
Close coordination with concerned departments (QA, QC, R&D, Production, Supply Chain) regarding issues on Packaging and Raw Materials that may hinder delivery schedule of orders.
Analyze and maintain a database of inventory categorization, material movement, and usages to set buffer stock level of certain RM and PM.
Provide and monitor consumption of purchased material with waiver and coordinate with the sales team to convert into sales.
Ensure the consistent and adequate supply of materials necessary for production.
Generate weekly free stocks monitoring and share with concerned departments (CSD & Sales) as a guide for material allocation.
Provide current status of open sales orders per week to be submitted to CSD.
Actively participate in coordination and alignment meetings and present the status of open sales orders and discuss the necessary help needed to serve orders.
Provide stock allocation summary of traded materials to the warehouse, as needed.
Provide reports as requested by the management or for reference of various users and perform urgent and other functions that may be assigned anytime.
Qualifications:
Education: Graduate of any four-year science-related course. Technical background a plus.
Years of Related Work Experience: At least 3-5 years in the same or related function.
Job Skills/Competencies Required:
Must be hardworking, analytical, resourceful, honest, trustworthy, and responsible.
Computer literate (Excel, Word, PowerPoint).
Detail-oriented and with extreme accuracy.
Must be proactive with strong leadership and supervisory skills.
Experience in, and use of, the validated SAP system.
Spreadsheet analysis and strong mathematical abilities.
