Your New Role... To provide a full secretarial and administrative service to the Managing Director WBITVP Spain & Portugal.
Your Role Accountabilities... Secretarial work for the MD and assist management team (business director, executive producer).Review and filter documentation that is sent to MD.Review and prepare correspondence, as required. Screen all calls, take messages and handle queries effectively.Expense reports for MD and management team.General office management to include general services and purchases of supplies.Travel and hotel arrangements for management team.Coordination of courier services.Assist MD on correspondence & enquiries with Burbank and EMEA offices.Attend personal duties for our MD.Main responsible for events and organized visits (serve visitors by greeting, welcoming, or/and directing them appropriately).Answer, screen, and forward any incoming phone calls while providing basic information when needed.Perform other clerical duties such as filing, photocopying, collating, faxing, etc.Perform basic office tasks, such as data entry, answering phones, taking messages, sorting mail, maintaining and updating filing, operating office machines, and arranging equipment maintenance and repairs.Planning and preparing for office events, such as meetings, conferences, and promotional activities.Ordering and distributing office supplies.Maintaining positive relationships with vendors, clients, and coworkers.Reviewing and updating office procedures to reduce errors and costs.Following and enforcing relevant policies, procedures, and regulations.Qualifications & Experience... Ability to take the initiative, using one's own discretion and skills pro-actively, to deal with matters and work with limited supervision in a pressured environment, and able to work on one's own for long periods at a time.Able to multitask and assist other departments.Develop/maintain excellent relationships with external and internal contacts to ensure matters are dealt with in the MD's absence.Advanced Skills in MS Office: Word/Excel/PowerPoint, as well as Outlook.Able to communicate effectively in both English and Spanish at all levels both internally and externally.Excellent organizational skills and the ability to pay close attention to detail.Ability to handle confidential material appropriately.Well organized, with the ability to prioritize workload and meet tight deadlines.Must be able to take initiative and work with limited supervision.How We Get Things Done The Legal Bits
