Position Overview: We are seeking a highly organized and proactive Senior Executive Assistant to support the CEO of one of our clients. This role is essential in ensuring the CEO's workflow is streamlined and effective, focusing on future planning, outreach, and relationship management. The Executive Assistant will play a key role in organizing meetings, managing communication, and maintaining the CRM system. This part-time position is perfect for a detail-oriented individual who excels in multitasking and prioritizing tasks. Key Responsibilities: Meeting Management: Listen to and transcribe key notes from meeting recordings. Prepare detailed minutes and summaries of meetings. Develop and distribute agendas for meetings in collaboration with the CEO. Coordinate meeting logistics, including scheduling and participant communication. CRM Management: Update and maintain the organization's relationship management CRM system. Ensure accurate and timely entry of contact information, meeting notes, and follow-up tasks. Assist in analyzing CRM data to provide insights on donor and partner relationships. Executive Support: Meet with the CEO regularly to discuss upcoming priorities and tasks. Assist the CEO in streamlining workflow and prioritizing tasks. Provide forward-looking planning and support, ensuring the CEO is prepared for upcoming commitments and deadlines. Coordinate and manage the CEO's calendar, scheduling meetings and appointments as needed. Communication: Serve as a point of contact between the CEO and internal/external stakeholders. Draft, proofread, and edit correspondence and communications for the CEO. Handle incoming and outgoing communications in a timely and professional manner. Project Support: Assist with special projects and initiatives as needed, ensuring timely completion and alignment with organizational goals.
