We are currently looking for a talented and passionate Executive Assistant to provide support for top level executives by providing clerical support, receiving clients and visitors, arranging travel and correspondence, and scheduling meetings.

What you will do: Work closely with the Managing Director, completing a broad variety of administrative tasks that facilitate the MD's ability to effectively lead the organization, including:Assisting with special projects; designing and producing complex documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements; and completing expense reports.Work closely with the MD to keep him well informed of upcoming commitments and responsibilities, following up appropriately.Act as a liaison and provide support to the Board of Directors. Arrange and handle all logistics for Board meetings and events.Schedule meetings; draft agendas; develop, compile, and distribute presentation materials; and record meeting minutes.Manage and maintain executive schedules, including scheduling travel, making appointments, and making changes to appointments.Answering and directing calls to appropriate executives and parties, taking messages.Provide hospitality to all guests and help to create a welcoming environment.Maintain inventory and office supplies. Anticipate office needs; evaluate new office products; place and often expedite orders when necessary.Prepare executive responses to routine memos, letters, or correspondence.Prepare checks for signature and review.Other projects/duties as assigned for the overall benefit of the organization.Required Education and Experience: Bachelor's degree preferred, but not required.Five years working experience providing executive support at a high level.Strong verbal and written communication skills.Computer software skills including proficiency in Microsoft Office.Exceptional organizational skills and impeccable attention to detail.Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.Able to maintain a high level of integrity and discretion in handling confidential information.Proficiency in English; other languages such as French will be valuable.GXO is a leading provider of cutting-edge supply chain solutions to the most successful companies in the world.
